1. Who We Are

Viral Host Digital ("Company," "we," "us," or "our") operates the website viralhostdigital.com and provides web design, hosting, and the Viral Host CRM platform to small businesses ("Clients"). This Privacy Policy explains how we collect, use, and protect information from visitors to our website and end users of our platform.

2. Information We Collect

From website visitors:

• Name, email address, phone number, and business information submitted via contact or quote forms
• IP address, browser type, and usage data collected via AWS CloudWatch RUM
• Cookies necessary for site functionality

From CRM platform users (Clients and their staff):

• Account credentials and authentication data managed via Amazon Cognito
• Contact records, activity logs, tasks, and communications stored within the CRM on behalf of the Client
• Billing information processed by Stripe (we do not store full card numbers)

From end users of our Clients' businesses (contacts in the CRM):

• Name, phone number, email address, and service inquiry details submitted via web forms on Client websites
• SMS message content exchanged through the Viral Host CRM platform
• Appointment and job-related information entered by the Client

3. How We Use Your Information

• To respond to inquiries and provide services you or your business requested
• To operate, maintain, and improve the Viral Host CRM platform
• To send transactional communications (account alerts, billing receipts, service updates)
• To facilitate SMS messaging between our Clients and their customers through the CRM (see SMS Policy below)
• To process payments via Stripe
• To comply with legal obligations

We do not sell your personal information to third parties.

4. SMS Messaging Policy

The Viral Host CRM platform enables our Clients (home service businesses) to send and receive SMS messages with their customers using phone numbers provided through Twilio. By providing your phone number to one of our Clients — whether through a web form or an existing business relationship — you may receive SMS messages from that business, including:

• Responses to quote or service requests
• Appointment confirmations and reminders
• Service status updates
• Follow-up messages related to your inquiry

Opt-out: Reply STOP at any time to unsubscribe from SMS messages. You will receive one confirmation message and no further messages will be sent. Reply HELP for assistance.

Message and data rates may apply depending on your carrier plan.

SMS messaging is provided through Twilio. Twilio's privacy policy is available at twilio.com/legal/privacy.

5. Data Storage and Security

All data is stored on Amazon Web Services (AWS) infrastructure in the United States. We implement industry-standard security measures including:

• TLS encryption for all data in transit
• AES-256 encryption for data at rest in Amazon DynamoDB and S3
• AWS Cognito for secure authentication with multi-factor authentication support
• AWS WAF (Web Application Firewall) to protect against unauthorized access
• Immutable audit logs via DynamoDB Streams

6. Third-Party Services

We use the following third-party services in the operation of our platform:

• Amazon Web Services (AWS) — cloud infrastructure, storage, email (SES)
• Twilio — SMS messaging
• Stripe — payment processing
• Google — analytics (Search Console, Business Profile visibility checks)

Each third party has its own privacy policy governing their data practices.

7. Data Retention

We retain personal data for as long as necessary to provide our services and comply with legal obligations. CRM contact data is retained for the duration of a Client's active subscription plus 90 days after termination, after which it is deleted upon request. File attachments in S3 are archived to Glacier after 365 days.

8. Your Rights

Depending on your location, you may have rights to access, correct, or delete your personal data. To exercise these rights, contact us at hello@viralhostdigital.com. For requests related to data held by one of our Clients within the CRM, please contact that Client directly.

9. Children's Privacy

Our services are not directed to individuals under the age of 13. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify active Clients of material changes via email. Continued use of our services after changes constitutes acceptance of the updated policy.
